At AdminPilot, your privacy is our top priority. We build tools that help you organize your life administration, and we believe your personal documents and emails belong to you. This Privacy Policy details how we collect, use, and protect your information.


1. Information We Collect

We collect information to provide and improve our services, categorized as follows:

  • Account Information: When you sign up via Clerk, we receive details such as your name, email address, and profile picture.
  • User Documents: Bills, PDFs, screenshots, and text that you manually upload or forward to your unique Inbound Alias are stored securely.
  • Google Integration Data: If you connect your Google Account, we access your Gmail inbox (limited to reading message details from the last 7 days) and your Google Calendar (to create, update, and manage deadline events).
  • Transaction Statements: CSV statements you paste or upload to the Bank Matcher tool are processed on-demand.

2. How We Use Your Information

We use the collected information for the following core purposes:

  • To extract deadlines, obligations, payment amounts, and details from your documents and emails.
  • To synchronize dates and actions directly to your Google Calendar.
  • To generate reminders and push notifications before deadlines expire.
  • To match bank transaction lines against unpaid household bills.

🔒 Google API Services User Data Policy Compliance

AdminPilot's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

Specifically: We do not share Google User Data with third parties, we do not use your email or calendar content for serving ads, and we do not utilize your email payloads to train artificial intelligence or machine learning models.

3. Processing via AI Models

To automate reading document details, AdminPilot utilizes advanced language models (Google Gemini API). Only the content of the relevant document, bank statement, or email is sent to the AI API. This processing is ephemeral, safe, and complies with enterprise AI privacy standards. The AI API does not store your data or use it to train Google's models.

4. Data Security & Storage

All stored user content, credentials, and authentication tokens are encrypted both in transit (using HTTPS/SSL) and at rest in our secure database managed via Neon Postgres. Access tokens are encrypted, and passwords are authenticated securely using Clerk.

5. Your Choices & Data Deletion

You retain full control over your data. At any time, you can:

  • Disconnect your Google Account under Settings, which immediately deletes stored access tokens.
  • Delete specific inbox items or household sharing workspaces.
  • Contact support to request complete account deletion.
